The Swiss subsidiary of an international corporation had realized that their work needed to be more and more often organized in the form of projects. The efficient and goal-oriented handling of these projects required tailored and effective processes, concise but helpful documentation, and industry-specific checklists and templates. A high level of acceptance by the parent organization was of paramount importance, as all members of project teams were recruited from the parent organization.

The BWI expert supported and accompanied a key project in this organization. The main processes and default documents within the project were introduced and established. Few but target-oriented tools were taught to the interdisciplinary team on-the-fly. The company then hired a young project manager as the Head of PMO, who took over the tools and ensured their use in other projects. Going forward, the organization benefitted from a successfully implemented baseline project and defined practical processes adapted to the company's specific situation.

Our guiding principle is to always follow a pragmatic, lean and thus efficient and realistic approach as a prerequisite for the specifications to be truly understood and adhered to. In detail this means:

  • Developing a project methodology adapted to the organization
  • Creating or revising a project management manual
  • Defining processes and establishing criteria for implementing these processes (according to the complexity of the project)
  • Defining responsibilities and documenting them (e.g. implementing a RACI matrix as part of the PM manual)
  • Creating templates and checklists and defining when to use them
  • Mapping the processes in the relevant tools (from the MS Office-Suite to Monday, Asana, Jira etc.)
  • Reviewing, optimizing and enhancing existing processes and specifications
  • Ensuring buy-in by the teams through their continuous involvement and training (depending on the organization, the range of approaches varies)
